Discussion and possible action to enter into an agreement with Pitney Bowes and Webb County for the Webb County Sheriff’s Office; pursuant to Sections 271.101 and 271.102, Subchapter F, Cooperative Purchasing Program (buy board Contract #656-21); said agreement is for 60 months to begin (January 9, 2023 through January 8, 2028) at an amount of $156.26 monthly (billed at $468.78 quarterly) which is subject to annual budget appropriations; and authorizing the county judge to execute any and all relevant documents; and any other matters incident thereto. Issue: The Webb County Sheriff’s Office processes a large volume of mail that needs to be sent via U.S. mail carrier. The current device is obsolete and the next generation of equipment is available. The Vendor has agreed to terminate the current contract that ends June 14, 2023 without penalty since they can no longer service the machine.

Solution: The purchase of such services that utilizes the new equipment will provide Webb County Sheriff’s Office deputies access to prepaid postage to perform county business in a more effective manner.

Result: Through the services of prepaid postage, there will be a digital accounting of outgoing mail generated by the Webb County Jail and the Webb County Sheriff’s Office. The service will also reduce employee time waiting to pay for mail at the U.S. post office.

Background:

On May 29, 2018 the Webb County Commissioners Court authorized the contract with Pitney Bowes pursuant to Sections 271.101 and 271.102 Cooperative Purchasing Program (buy board Contract #496-15.
